Become a Volunteer


Purpose of Volunteer policies

These policies are written to provide overall guidance and direction to staff and volunteers engaged in volunteer involvement and management efforts. These policies do not constitute, either, implicitly or explicitly, a binding contractual or personnel agreement. KIWOHEDE reserves the exclusive right to change any of these policies at any time and expect adherence to the changed policy. Changes to or exceptions from these policies may only be granted by the Executive Director or Department Program Manager, and must be obtained in advance and in writing. Areas not specifically covered by these policies shall be determined by the Department Program Manager.

Definition of ‘Volunteer

A Volunteer is anyone who, without compensation or expectation of compensation beyond reimbursement, performs a task at the direction of and on behalf of KIWOHEDE. A Volunteer must officially be accepted and enrolled by KIWOHEDE prior to performance of the task. Unless specifically stated, volunteers shall not be considered as ‘employees’ of KIWOHEDE

Volunteers Under the age of 18 years:

If you are under 18, please let at least one of your parents or guardians know you are going to volunteer with KIWOHEDE.

Service at the discretion of KIWOHEDE:

KIWOHEDE accepts the service of all volunteers with the understanding that such service is at the sole discretion of KIWOHEDE. Volunteers agree that KIWOHEDE may at any time, for whatever reason, decide to terminate the volunteer’s relationship with KIWOHEDE.

The volunteer may at any time, for whatever reason, decide to sever the volunteer’s relationship with KIWOHEDE. Notice of such decision should be communicated as soon as possible to the volunteer’s supervisor.

Representing KIWOHEDE:

Volunteers are asked not to contact organizations or individuals on behalf of KIWOHEDE unless they are given express written directions to do so by the Department Program Manager. Prior to any action or statement which might significantly effect of obligate KIWOHEDE, volunteers should seek prior consultation and approval from appropriate staff. These actions may include, but are not limited to, public statements to press, coalition or lobbying efforts with other organizations, or any agreements involving contractual or other financial obligations. Volunteers are authorized to act as representatives of KIWOHEDE as specifically indicated within their job descriptions and only to the extent of such written specifications.


Volunteers are responsible for maintaining the confidentiality of all proprietary of privileged information to which they are exposed while serving as a volunteer, whether this information involves a single staff, volunteer, client, or , other person or involves overall KIWOHEDE business. Failure to maintain confidentiality may result in termination of the volunteer’s relationship with KIWOHEDE or other corrective action.

Screening/Reference checks:

For some tasks, volunteers must submit samples of work and professional references. If such is required, it will be outlined in the task description.

Contacting other volunteers:

Occasionally, volunteers will need to contact other volunteers with regard to their activities with KIWOHEDE. We expect all such communications among volunteers to follow general guidelines. The Department Program Manager will not share contact information about a volunteer with another volunteer without the express consent of all parties involved. KIWOHEDE encourage volunteers to use common sense when communicating with other volunteers, or, anyone.

Ending volunteering role:

A Volunteer can cease volunteering with KIWOHEDE upon completion of any volunteer assignment, or when not currently engaged in an assignment.

Dismissal of a volunteer:

Volunteers who do not adhere to the rules and procedures of KIWOHEDE or who fail to satisfactorily perform their volunteer assignment are subject to dismissal. No volunteer will be terminated until the volunteer has had an opportunity to discuss the reasons for possible dismissal with supervisory staff. Possible grounds for dismissal may include, but are not limited to, the following; gross misconduct or insubordination, theft of property or misuse of KIWOHEDE materials, abuse or mistreatment of clients, staff or other volunteers, failure to abide by KIWOHEDE policies and procedures, and failure to satisfactorily perform assigned duties.

Code of Conduct

All volunteers of KIWOHEDE, in delivering services and in all KIWOHEDE activities, shall meet the following standards of conduct;

No volunteer shall

Authorize the use of or use for the benefit or advantage of any person, the name, logo, endorsement, services, or property of KIWOHEDE, except in conformance with KIWOHEDE policy. Accept or seek on behalf of any person, any financial advantage or gain of other than nominal value offered as a result of the volunteer’s or employee’s affiliation with KIWOHEDE.

Publicly use any KIWOHEDE affiliation in connection with the promotion of partisan politics, religious matters, or positions on any issue not in conformity with the official position of KIWOHEDE. Disclose or use any confidential KIWOHEDE information that is available solely as a result of the volunteer’s affiliation with KIWOHEDE to any person not authorized to receive such information or use to the disadvantages of KIWOHEDE any such confidential information, without express authorization of KIWOHEDE. Knowingly take any action or make any statement intended to influence the conduct of KIWOHEDE in such a way as to confer any financial benefit on any person, corporation, organization, or entity in which the individual has a significant interest or affiliation.

Operate or act in any manner that is contrary to the best interests of KIWOHEDE.

Operate or act in a manner that creates a conflict with the interests of KIWOHEDE and any organization in which the individual has a personal, business, or financial interest. The individual shall disclose such conflict of interest to KIWOHEDE Executive Director or the Department Program Manager as applicable, upon becoming aware of it. Where required, the individual shall absent himself or herself during deliberations, and shall refrain from participating in any decisions or voting in connection with the matter.

Volunteers are expected to:

Represent KIWOHEDE with professionalism, dignity and pride, and be responsible for conducting themselves with courtesy and appropriate behavior.

Follow through and complete accepted tasks.

Conduct themselves in a respectful manner, exhibit good volunteering conduct, and be a positive role model. Seek training for volunteer role by participating in meetings, self-study, or other training opportunities to help work more effectively with appropriate clients and audiences.

Display respect and courtesy for KIWOHEDE employees, other volunteers, program participants, visitors, clients and property.

Provide safe environment by not harming clients in any way, whether through discrimination, sexual harassment, physical force, stigma, verbal or mental abuse, neglect, or other harmful actions.

Respect the privacy of persons served by KIWOHEDE and hold in confidence sensitive, private and personal information.

Keeps KIWOHEDE staff informed of progress, concerns and problems within the program or activity participating?

Work cooperatively as a team member with KIWOHEDE employees and other KIWOHEDE volunteers. Respect and follow KIWOHEDE policies, along with specific Tanzania policies and program or activity expectations. Keep personal opinions and actions separate from those made as a representative of KIWOHEDE. Avoid conduct, both on and off duty, that jeopardize program or activity effectiveness.

Promise by a Volunteer

As a volunteer, I promise to follow the policies, rules and guidelines in this Volunteer Agreement and Code of Conduct as a condition of my providing services to clients, children, vulnerable adults, clients of KIWOHEDE and general community.

As a Volunteer, I will:

Treat everyone I serve with respect, loyalty, patience, integrity, courtesy, dignity, and consideration. Use positive reinforcement rather than criticism, competition, or comparison when working with clients, children, vulnerable adults, clients of KIWOHEDE and general community. Maintain confidentially in all matters related to KIWOHEDE business. Comply with mandatory reporting regulations of KIWOHEDE. Cooperate fully in any activity with other volunteers and staff of KIWOHEDE.

As a Volunteer I will not:

Touch or speak to clients, children, vulnerable adults, clients of KIWOHEDE and general community in a sexual or other inappropriate manner. Humiliate, ridicule, threaten, or degrade clients, children, vulnerable adults, clients of KIWOHEDE and general community. Smoke or use tobacco products while engaging in volunteer activities with clients, children, vulnerable adults and clients of KIWOHEDE. Use, possess, or be under the influence of alcohol or illegal drugs at any time while volunteering. Use, possess, or show pornographic materials to children, youth or vulnerable adults at any time while volunteering except on education sessions. Use profanity in the presence of clients, children, vulnerable adults, clients of KIWOHEDE and general community. I understand that as Volunteer working with clients, children, vulnerable adults, clients of KIWOHEDE and general community I am subject to a thorough background check including criminal history. My signature confirms that I have read this Volunteer Agreement and Code of Conduct and that as a volunteer ministering clients, children, vulnerable adults, clients of KIWOHEDE and general community I agree to follow these standards. I understand that any action inconsistent with this Volunteer Agreement and Code of Conduct or failure to take action mandate by this Volunteer Agreement and Code of Conduct may result in my removal as a volunteer with clients, children, vulnerable adults, clients of KIWOHEDE and general community.
